Under the supervision of the FMS Payroll Manager, the FMS Electronic Visit Time Reporting Analyst provides technical guidance to the FMS program participants-employers ("participants") and their personal attendant/direct care workers/employees ("DCWs") in order to maintain ongoing service to participants and their DCWs regarding the processing and validation of time & attendance, facilitating subsequent processing of attendant payroll and processing of related FMS claims.Job Duties Will Include:

  • Processes adjustments/exceptions for submission to the state EVV aggregator
    • Researches and resolves the visits denied by the State EVV aggregator
      • Maintains and updates documentation and analysis of visits that lack a log-out or that are excessively long
        • Contact participants and collaborate with support brokerage staff to facilitate resolution of visits lacking a log-out or that are excessively long
          • Maintains and updates documentation and analysis of visits that are excessively short
            • Contact participants and collaborate with support brokerage staff to facilitate resolution of visits that are excessively short
              • Maintains and updates documentation and analysis of visits deriving from unrecognized electronic addresses and contacts customers and collaborates with support brokerage staff for resolution
                • Maintains and updates documentation and analysis of visits that lack appropriate authorization/verification and contacts customers and collaborates with support brokerage staff for resolution
                  • Maintains and updates documentation and analysis of visits that are all for inquiry regarding geofencing and contacts customers and collaborates with support brokerage staff for resolution
                    • Entry of manual time reporting data into the electronic visit time capture software
                      • Brokers the acquisition of documentation of corrections to time reporting exceptions and errors
                        • Monitors CellTrak triage and investigates alerts and effects for resolution
                          • Adjudicates time reporting in the CellTrak operations portal consistent with authorizations
                            • Uploads the visits from CellTrak and processes the batches for Medicaid waiver services in NetSmart System
                              • Saves Excel files from Netsmart and creates spreadsheets for batch processing
                                • Updates the service types on the Direct Care Worker profile in Netsmart system
                                  • Resolves "stuck" visits and "no matching location/target member," alerts along with the other errors in CellTrak
                                    • Procures participant address validation for CellTrak participant profiles
                                      • Coordinates with Participant Navigators on time reporting and batching issues pending resolution
                                        • Coordinates with Information Technology Department for system related errors
                                          • Processes data entry of newly hired attendant-employees, new employee-participant associations, add and update employee information
                                            • Meets payroll processing volume benchmarks and deadlines according to the established operating schedule.
                                              • Responds incoming telephone calls and voice mails from external and internal customers.
                                                • Communicates in written and verbal form effectively with management and staff at all levels.
                                                  • Maintains confidential or sensitive information consistent with HIPPA and contractual guidelines.
                                                    • Complies with all management directives regarding payroll guidelines, rules, specifications, regulations, and system requirements.
                                                      • Other duties as assigned
                                                        • Bachelor's Degree, or Associate Degree with 2 years advanced specialized experience. Additional years of increasing responsibilities in customer relations and payroll are considered in place of course credits. Should have specialized experience in automated time recording systems, payroll processing, payroll reconciliation, taxation, bookkeeping, reporting, and audit support duties.
                                                        • Excellent time management.
                                                        • Comfortable dealing with sophisticated automated telephone and data systems.
                                                        • Proficiency using modern technology. Easily adaptable to new technologies.
                                                        • Experienced with business math, bookkeeping, word processing, and office equipment. Good keyboard skills and ability to work effectively with Windows software. Skilled in Word, Excel, Outlook, and Share Point software applications.
                                                        • Understanding of payroll processes.
                                                        • Bilingual in English-Spanish a plus but not necessary
