Job Description:
Join a global team as an Executive Assistant in the Philadelphia
office to support the Global Head of Digital, Data and Products
(DDP), who leads a global team of 100 people. This is an
opportunity to secure a senior level administrative position at an
established and truly global organization.In this role you will be
responsible for heavy/complex calendar management (including
arranging both internal and external meetings) for the global head
of the business in a fast-paced environment. You will also be
responsible for coordinating complex travel (domestic and
international travel). You will manage expense reports and prepare
for reimbursement. You will facilitate payment of vendors and
invoices. You will prepare and update PowerPoint presentations,
provide project management support and/or coordinate various
projects / activities as needed. You will regularly interact with
executive assistants globally, including coordinating regular Zoom
calls with international offices and coordinating with the
assistants supporting the DDP teams in other offices. You will be
expected to provide ad-hoc support to the DDP team based in
Philadelphia including onboarding new joiners. You will also
provide administrative assistance to team members or senior leaders
visiting from other offices. You will develop a solid knowledge of
Macquarie Asset Management and its various departments.To be
successful in this role you will need to be able to demonstrate a
proactive approach with the ability to fully understand the nature
of the business and priorities within the team. You will need to be
highly confidential with information and exercise appropriate
judgment/discretion and grace dealing with all parties. You will be
involved in global interactions and various demands of the
executives; the position will require occasional periods of work
outside regular office hours. You must have advanced skills in MS
Outlook, Word, PowerPoint and Excel. To excel in the role, you will
be extremely organized, flexible, and have excellent attention to
detail and follow-through. You will leverage your project
management / coordination skills with the ability to handle
multiple tasks simultaneously while adhering to timelines. You will
have the ability to work well under pressure, manage workload and
deadlines effectively, be resourceful, and work independently as
well as within a team. You will thrive in a dynamic business where
accuracy, hard work and flexibility are imperative. You must have
excellent verbal and written communication skillsTo be considered
for this role you will have had at least 5+ years in a corporate
environment supporting C-Level executives, function as a gatekeeper
to executivex, have excellent time management skills along with
proficiency in Outlook, Word, Excel, and PowerPoint.About
