AGENCY DESCRIPTION Works with the Philadelphia business community to build internal and external alliances with Minority ("MBE"), Women ("WBE") or Disabled ("DSBE") owned business enterprises (collectively "M/W/DSBEs), with the City of Philadelphia, and with private industries to help develop strong, mutually beneficial relationships that facilitate successful networking opportunities. Job Description The Office of Economic Opportunity is looking for a professional individual who is able to work in a high-level environment and interact as a liaison and at all levels of City Government. A results-oriented candidate that works well with others prioritizing projects and accomplishing tasks on time and with attention to detail, accuracy, and thoroughness. The position is primarily responsible for a variety of clerical and administrative duties that are necessary to run the office effectively. Examples of work include but not limited to scheduling meetings, answering phones, editing and typing documents. ESSENTIAL FUNCTIONS
  • Managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the Deputy Commerce Director schedule is followed and respected. Provides "gatekeeper" and "gateway" role,
  • Communicates directly, and on behalf of the Deputy Commerce Director, with staff, internal department, City leaders, and others, on matters related to OEO's programmatic initiatives.
  • Ability to research, prioritize, and follow up on incoming issues and concerns addressed to the OEO Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the OEO and internal departments;
  • Works closely and effectively with OEO director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, and other correspondence,
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Experience with planning and implementing large-scale events
  • Related duties as required

    COMPETENCIES, KNOWLEDGE, SKILLS, AND ABILITIES
  • Proficient with Microsoft Office tools (e.g. Word, Excel, PowerPoint, etc.) Knowledge of SharePoint and InDesign a plus
  • Must have excellent word processing and editing skills. All documents must be prepared in a thoroughly professional manner
  • Strong organizational skills and multi-tasking as well as attention to detail
  • Strong interpersonal skills
  • Strong communication skills both written and verbal
  • Ability to make quick decisions and judgment calls
  • Delegation skills

    Qualifications
  • Completion of a Bachelor's degree from accredited college
  • At least 1-3 years of clerical/secretarial experience preferred
