Job Description:

You should be prepared to fulfill your job responsibilities with excellence while also helping to address the needs of the department/organization when called upon. As a Manager in the department, you must also be able to balance your individual workload while ensuring that the work of your team is being completed at a high level. OverviewThis position serves as the point of contact for registration data entry, maintenance, and reporting for Jewish Federation sponsored events across all areas of work including Fundraising, Community Engagement, Programming, Executive Office, and Israel, totaling more than 100 events each year. This position reports to the Director of Events, and has direct supervisory responsibility for two Event Operations Coordinators, who prepare event prep and on-site registration processes. This role will also oversee the work of any administrative and support personnel asked to assist with events.


  • Work collaboratively with the Development, Finance, Donor Services and other related departments to support the planning and execution of Jewish Federation events, committee meetings and volunteer opportunities.
  • Supervise two members of the Events team (Event Operations Coordinators). Effectively mentor, coach and support team members on event programs and initiatives to ensure high level execution of projects.
  • Monitor event timelines to ensure all necessary data and registration tasks are completed in a timely manner.
  • Oversee and manage the organization's pre-event and onsite registration process for more than 100 events in a calendar year. Oversee portfolio for event operations team and be on site for key events that might take place in the early morning, evening and on Sundays.
  • Ensure all necessary event details and registration information is accurately captured in the BBEC CRM database. This includes creating and maintaining new event records, updating registrant status and ensuring up-to-date contact information.
  • Answer phone calls and email inquiries related to Jewish Federation events and registration.
  • Submit registration payments to Finance, process registration transfers or refunds as necessary, and reconcile payments made at events.
  • Execute reports to keep staff informed of event registration status, event attendance, and any needed follow-up.
  • Participate in the implementation process, training, and execution of event registration automation solutions, part of a new system being planned for this fiscal year. Create registration forms as needed.
  • Other duties as needed based on specific event requirements.Essential Qualifications & Competencies
    • A minimum of 5 years of event-related experience, preferably in a nonprofit setting.
    • Experience managing a small team, distributing work portfolio.
    • Strong interpersonal skills to effectively communicate with Jewish Federation colleagues, volunteers, event registrants and outside vendors.
    • Experience working in database environments. Experience with Blackbaud CRM is a plus.
    • Familiarity with operating a desktop and laptop computer and applicable software, including Microsoft Office, with the ability to adapt to new systems.
    • Ability to lift up to 25 pounds and stand on feet for extended periods of time.
    • Candidate must have a flexible schedule with the ability to work nights, weekends and some holidays.
