Job Description Summary
The Associate Director of Development assists the Director of Advancement in the development efforts for the Penn Libraries, particularly with regard to the identification, cultivation, solicitation and stewardship of individual major gift and gift planning prospects. The Associate Director is an integral part of the development operations of the Libraries. The Associate Director manages a portfolio of major gifts prospects and donors nationally, but with primary focus on 3-4 metropolitan areas. This position works closely with the Director to implement priorities and devise fundraising strategies, programs and events. The position also designs and implements cultivation and stewardship events for individuals and groups. The Senior Associate Director cultivates library donors and volunteers for future leadership roles at the Libraries and at the University which includes opportunities at the Orrery Society Council and the Board of Advisors for the Libraries. Volunteer and stewardship work includes primary responsibility for the management of the Director's Circle. The Associate Director may represent the Penn Libraries at meetings, events, and other functions.

Job Description
Major Gifts and Planned Giving Fundraising

Primarily responsible for managing a portfolio of individual major gifts donors and prospects, with a focus on alumni, parents and friends:

  • Build and manage a portfolio of 80-120 donors and prospect, understanding the Libraries' limited pool and that building a portfolio will require creativity, time and hard work. Focus portfolio on individuals with the capacity of making $50,000+ commitments.
  • Conduct on average 8-12 visits per month.
  • Meet personalized annual fundraising goal, but also understand responsibilities for overall goals for the Penn Libraries.
  • Manage the process of identifying, qualifying, cultivating and soliciting individual donors.
  • Cultivate donors and volunteers for leadership roles on the Orrery Society Council and the Libraries Board of Advisors.
  • Collaborate with fundraising and alumni relations colleagues to devise donor strategies.
  • Familiarize him/her-self with the Penn Libraries to effectively make the case for support.
  • Master basic planned giving vehicles and vocabulary so as to be an effective partner to central DAR's gift planning team.
  • Work with Office of Gift Planning to explore additional avenues for gift planning outreach.
  • Create Libraries planned giving society with 1-2 annual events.
  • Identify opportunities to engage volunteers and the Vice Provost & Director of Libraries in cultivation and solicitation efforts.Board and Volunteer Management

    The Penn Libraries has an important and engaged Board of Advisors and Orrery Society Council. Each member of the office has an important role in the continued involvement and well-being of the Board and Council. The Associate Director plays an important role in supporting the Director in many aspects of Board management:
    • Active role in identifying new volunteers and Board members for the Penn Libraries.
    • Help engage Board members who live in regions that the Associate Director covers, and help devise strategies for their continued engagement with the Libraries and beyond as their terms come to an end.
    • Revive and expand the Director's Circle (past Board and Orrery Society Members) to use their expertise and relationships to advance the Libraries' priorities.
    • Work closely with the Director's Circle to ensure that they are well versed in the case for support for the Libraries and each of our priorities.
    • Play an active role in the identification of volunteers for the Director's Circle. Primarily responsible for setting goals and expectations for the group and work with individuals on events, donor meetings and other fundraising strategies.Director's Circle Management

      Primarily responsible for all aspects of the Directors Circle (several responsibilities are also listed under Major Gifts Fundraising and Board and Volunteer Management):
      • In collaboration with the Director of Advancement, design and implement the strategic direction of the Director's Circle, to start with our list of 45 former board members.
      • Identify and engage volunteer leaders for the Director's Circle, including transition and succession plans.
      • Engage the Director's Circle with the Vice Provost and Director of Libraries through in-person, remote, and written communications.
      • Design and implement plans to cultivate this group for planned and outright gifts to the Libraries.
      • Develop and implement programs and events for the Director's Circle.
      • Oversee the stewardship of Director's Circle members. Qualifications:

        Bachelor's degree; 3-5 years minimum of progressively responsible development experience with emphasis on major gifts or planned giving required or equivalent combination of education and experience. Ability to function with a high degree of independence with donor pool, yet interact collaboratively with colleagues in centralized framework of fundraising, participating in and contributing to total team effort. Demonstrated ability to solicit and close gifts from individuals. Experience successfully interacting comfortably with higher education and corporate leaders. Exceptional interpersonal and communications (oral and written) skills. Strong strategic and conceptual abilities necessary to succeed within complex and goal-oriented environment. Previous experience in libraries and/or higher education highly desirable. Must have the ability to manage multiple projects in a goal- and deadline-oriented environment. Should be able to analyze and concisely articulate issues and to work with a diverse group of constituents. Ability to learn the needs and priorities of the Libraries and translate those into cases for support and written proposals is required to successfully carry out this job. Travel, evening/weekend work and valid driver's license required.
