    Job Summary:

    Provides overall administrative and organizational support to the Director. Position involves coordinating, tracking, and maintaining all communications related to organizational committee appointments, relevant teleconferences, programs (meetings, conferences workshops, etc.), as well as external relations with third party vendors/contractors and other departmental duties, as assigned.

    Major Duties and Responsibilities:


    • Facilitates and supports effective communication internally between AACR departments and divisions, as well as externally between the organization and its members



      • Assists the Director and serves as a liaison with colleagues and external vendors to coordinate various aspects of AACR international conferences, meetings and workshops, including logistics, program development, marketing, and sponsorship.

      • Assists with preparation of relevant events held at the AACR Annual Meeting (logistics, food and beverage, PowerPoint slides, handouts, ads, etc.)

      • Coordinates the administration of travel awards for international attendees to the AACR Annual Meeting

      • Coordinates materials and binders for relevant meetings

      • Maintains calendar to track program deadlines

      • Assists with drafting, proofreading, and editing various correspondences for distribution (e.g. meeting minutes, committee-related letters, organizational announcements, etc.)

      • Facilitates communications with the AACR International Affairs Committee and Regional Advisory Subcommittees, coordinating teleconferences and meetings, drafting meeting minutes, and maintaining rosters and appointment tracking histories.

      • Maintains extensive filing of all data systems (Excel, Access, Word) needed to suggest and track committee appointments

      • Enters and updates data within internal membership database (iMIS)

      • Provides general, comprehensive administrative support, as needed, in developing and implementing new initiatives and programs

      • Researches and provides reports, as needed, regarding the activities of international cancer research leaders and organizations.





        • Coordinates travel arrangements (flights, ground transportation, visa applications) for Director and other AACR colleagues, as needed.

        • Performs other tasks and essential functions to support the portfolio of the AACR---s Internationals programs, as needed


          Requirements:



          • 5-7 years of administrative experience, preferably in a non-profit, academic, or scientific environment

          • Excellent organizational skills and keen attention to detail

          • Excellent oral and written communication skills

          • Ability to handle multiple tasks/projects and meet deadlines

          • Ability to maintain confidentiality and follow through with assigned tasks

          • Ability to manage large amounts of data and information

          • Ability to work well both independently and in a team environment

          • Ability to interact with organizational staff and membership body in a professional manner.

          • Strong interpersonal skills

          • Excellent writing, editing, and proofreading skills

          • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint

          • Knowledge in database maintenance and management


            Education and Training:



            • Bachelor---s degree (Masters Preferred)

            • Fluency in one foreign language a plus

            • Familiarity with scientific and medical terminology
