SummaryThis Secretary (Office Automation) position provides clerical/administrative support to the Insurance Claims Division as well as other staff members and employees in the Insurance Center of the Department of Veterans Affairs located in the Philadelphia Regional Office in Philadelphia, PA. As a Secretary (OA)for the Veteran Benefits Administration you will:ResponsibilitiesReceive telephone calls and greet visitors, give routine and non-routine information, answer questions and direct calls and visitors to the appropriate person or office.Receive and respond to routine and non-technical requests for information such as status of reports, and maintain suspense records on all correspondence and action documents.Prepare and type a variety of correspondence, reports, forms, requisitions, etc., using word processor or personal computer in final form.Organize and maintain files, records, manuals, and handbooks.Act as supply clerk for the division, making sure items are ordered and stocked.Perform duties as personnel clerk for the division, which involves preparing requests for personnel actions, maintaining employee records, and serving as time keeper.Maintain supervisor's calendar; schedule appointments and prepare notes regarding discussion topics; and make travel arrangements and prepare travel vouchers.RequirementsConditions of EmploymentQualificationsNote: This job will close when we have received 125 applications which may be sooner than the closing date. Specialized experience is defined as work that involves (1) GS-GS-06: One year of specialized experience equivalent to the GS-05 grade level in the federal service that equipped the applicant with the particular knowledge, skills and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization.Specialized experience is defined as work that involves: (1) screening calls and visitors and directing them to the appropriate office;(2) typing and proofreading various kinds of correspondence; and(3) organizing and maintaining files and records. Note: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge and skills, and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience you document, to include volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours per week spent in such employment.EducationThere is no education substitution for a GS-06 grade level.Additional InformationWork Schedule: Regular office hours, Monday - Friday, 8:00 AM - 4:30 PM. Alternate work schedules may be available. Promotion Potential: There is no promotion potential for this position. As it is expected that this position will be filled at the full performance level of GS-06. Physical Requirements: The work is sedentary. Typically the employee may sit comfortably to do the work. However, there may be some walking, standing, bending or carrying of light items such as papers and books. No special physical demands are required to perform the work. The Department of Veterans Affairs provides reasonable accommodations for persons with disabilities. Receiving Service Credit for Earning Annual (Vacation) Leave: Federal employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed. The Interagency Career Transition Assistance Plan (ICTAP) and Career Transition Assistance Plan (CTAP) provide eligible displaced Federal competitive service employees with selection priority over other candidates for competitive service vacancies. To be qualified you must submit appropriate documentation and be found well-qualified for this vacancy. A well-qualified candidate is defined as meeting all of the minimum qualification standards and eligibility requirements as well as possessing skills that clearly exceed the minimum qualifications requirements for this position. Specifically, a well-qualified candidate will score 90 or above within the assessment portion of this vacancy.
