CompanyFederal Reserve Bank of PhiladelphiaThe Research Business Operations Coordinator will support the operations of the Banks Research Department. The duties and responsibilities consist of the following: Act as the primary support for department staff with travel advisement, staff environment, seminar and conference organization, and processing of expenses such as education and conferences. Provides recommendations for process improvements and assistance to staff as required. Under limited supervision, plans, manages, oversees, and coordinates our processes for clients of the Research department.Provides support with financial operations of the department by participating in oversight of budgeting deliverables such as monitoring expenses, preparing procurement and human resource analysis.Provides support in collaboration with department senior management and others for economist recruiting efforts offers suggestions on timelines, works with internal and external economist recruiting posting notifications and coordinates interview scheduling. Provides advisory support to department staff in relation to policies and procedures. Provides travel planning services, including complex international travel itineraries.Manages and plans, and/or coordinates research outreach, System, Bank, division, department, internal, and/or external events that are generally of a high profile and often include broad and diverse audiences. Develops and/or and supports events communication efforts, schedules programming, ensures event spaces meet requirements. Responsible for the successful execution of scheduled activities and adequate contingency planning. Collaborates with hosting Research economists offering guidance on scheduling agenda topics and technical support options.The Federal Reserve Bank of Philadelphia is one of the 12 regional Reserve Banks that, together with the Board of Governors in Washington, D.C., make up the Federal Reserve System.   • Extensive knowledge and serve as the subject matter expert in full cycle recruitment efforts (full time hires, visiting scholars, interns, contingent workers, PhD students)
  • Manages the recruiting process by maintaining a large database of application and oversee confidential application materials.
  • Manages confidential applicant eligibility in coordination with the Legal department to ensure all legal aspects are addressed prior to interview.
  • Manages the job posting process for job ads to effectively recruit department talent using various research applications such as EconJobMarket, NABE, SSRN and JOE.
  • Manages the coordination of the summer intern program with on-boarding/off-boarding in collaboration with management staff.Non-Employee Program Coordinator:
    • Responsible for assisting in developing and adherence to departmental budget for non-employee expenses.
    • Responsible for development of detailed management reports for non-employee related expenses.
    • Collaborates with senior management in developing expectations for all non-employee programs.
    • Prepares and oversee contract letters for the visiting scholar program in coordination with Research management and Legal Department.
    • Manage and coordinates non-employee visiting arrangements for scholars.
    • Manage and works directly with economists on availability for scholar visits.Conference Planning:
      • Collaborates with Executive Vice President & Director of Research, Senior VP, multiple Vice Presidents, Department Officers, and Economists to develop external facing documents including meeting programs and agenda topic author coordination.
      • Manage and coordinates event service plans in accordance with best practices to achieve the highest standards of service for large research events.
      • Assist with providing assesses to the relevance and effectiveness of programming-recommends and implements changes as appropriate.
      • Oversees and implements web-based technology and other programs to reach targeted audience, develops concise communication and marketing plans.
      • Responsible for evaluating contracts for potential conferences in coordination with Banks Legal department and, also in-line with financial/procurement requirements.
      • Responsible for coordination of Procurement, Legal and Creative Services on contracts for internal or external events and provides direction to staff regarding outward facing web design.Financial Analysis:
        • Prepares in-depth analysis documents for Research managements use in reviewing financial position with regards to travel, conference and scholar costs.
        • Assists with purchasing of department technology/software in coordination with budget staff.
        • Assists the department by preparing internal support services and purchase requisitions.
        • Responsible for a purchasing card; reconciles monthly statements.
        • Responsible for processing of educational costs for Research Assistant graduate courses and maintain management reports of these related expenses.Additional Responsibilities:
          • Provides support for monetary policy briefings such as material coordination with strict monitoring of eligibility and knowledge of FOMC program policies as needed.
          • Prepares documents for FVP, Ethics Officer & CFO for international travel and reimbursement review consideration.
          • Partners with Information Security on international travel equipment allowances.
          • Assists with departmental budget planning and processes.
          • Verifies staff records to monitor attendance and send daily notifications to the department regarding absences.
          • Works with Research visitors in preparing expense reports and fee contracts and payments.
          • Contributes to maintaining the departments policies and procedures.
          • Other duties as assigned.Subordinates: NoneEducation and Experience:
            • Bachelors degree in Business Administration, Human Resources, Finance or Accounting, and/or minimum of 7 years in related work capacity.Knowledge and Skills:
              • Strong written and verbal communication skills.
              • Proficient skills in Microsoft Office 365, Outlook, Teams, Word, Excel, and PowerPoint. Various other applications such as Workday, Ariba and Adaptive are a plus. Willingness and ability to learn new technologies as needed.
              • Detail oriented with strong organizational skills, ability to multitask to meet tight deadlines.
              • Maintains composure and positive attitude under pressure in a fast-paced environment.
              • Ability to exercise independent judgment in making moderately complex business decisions based on Bank policies.
              • Strong interpersonal and communications skills, ability to work with individuals at all levels of the organization.
              • Ability to deliver concise details, effectively relay concerns, and recommend and implement changes as appropriate.
              • Ability to maintain a customer focus while successfully fulfilling business needs/expectations within bounds of policies and procedures.
              • Adaptable and flexible ability to adjust to new ideas, handle challenging tasks, and respond quickly to changes.
